This Privacy Notice (“Notice”) describes how PT VEDA PRAXIS (we, us, our or PT VEDA PRAXIS) may use, process, store and disclose Personal Information that we may collect about individuals, including if you register with us through this website, third party social networks and from other sources such as when you register for our online webinars. The types of data we collect are described in the section below ‘Your Personal Information and how we collect it’. Where we are required to do so under applicable law, we will obtain your notified consent on or before collecting your Personal Information. 

 

We act as a controller and we are responsible for the Personal Information we process. This Notice informs you how we protect your Personal Information and informs you about your privacy rights.

 

It is important that you read this Notice together with any other Privacy Notice we may provide and on specific occasions when we are collecting or processing your Personal Information so that you are fully aware of how and why we are using your Personal Information. This Privacy Notice supplements other Notices you may receive from us and is not intended to override them.

Your Personal Information and how we collect it

Use of or registering with this Website

When you use or register with this website, such as searching for information or applying for a job, we may ask for certain Personal Information including your name and contact information (email, phone number and Company name). Depending on the nature of your enquiry or activities on our website, we may also ask for and/or collect:

  • your job search criteria, salary expectations and preferences;
  • job title, company name, employment history, employment experience, educational history, skills, and salary;
  • information about your professional interests through white papers or newsletters you collect, as well as professional interests that you describe to us;
  • other background information together with any login ID and password created by you;
  • information you provide including in emails, letters or during telephone calls
  • technical data including internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website. Job Applicants

The Personal Information we collect from job applicants provides us with insights into their past work experience, including details of their academic background. This information may be used for obtaining references. We request that you provide original printed documents, including proof of identity, and qualifications. We may also verify some or all of the information you provide in connection with your job application.

 

We seek your consent for background checks, including criminal records or credit references, if required for the position. We may also engage third parties to conduct screening and background verification services, and we will inform you at the appropriate time.

 

If you provide us with information about 3rd parties, we will assume that the 3rd party in question has given you permission to do so and to PT VEDA PRAXIS collecting, processing and transferring their Personal Information to the same extent as yours.

 

Our Clients and Vendors

If you are a Client or Vendors that supply goods and services we will collect and process information about individuals in your organisation to enable us to communicate with them and to provide our services or receive goods and services. We may also find the details of corporate contacts published on other websites and social media. We may enter the individual’s name and business email address in to our database as a designated corporate point of contact for that client or vendor together with the individual’s other business contact data. Usually the only Personal Information we process is the individual’s name for the purposes of contacting that client or vendor in relation to our services or as a recipient of the client or vendor that supply goods and services.  

 

The source of a corporate point of contact may be the individual themselves, or their name and business details may be provided to us by a member of their HR or Procurement department or another manager within the organisation. We may send business to business email marketing to corporate points of contact. How we use your Personal Information

We use, process, store, and disclose the Personal Information and other data we collect to provide the services offered by this website.

  1. Verification and Use of Personal Data:
    You verify your personal data and allow us to collect and use your personal information provided by you and/or others for the following purposes:
    a. Providing you with effective information and services and ensuring efficient business operations in accordance with the law and the legitimate interests of our clients in receiving professional services from us as part of their organizational operations (provided this does not infringe upon your rights);
    b. Developing and enhancing our business, services, and offerings, as well as advancing new technologies and offerings from VEDA PRAXIS (as long as this does not infringe upon your rights);
    c. Fulfilling our obligations under agreements or employment contracts with you.
  2. Use of Personal Data for Job Applications:
    We use, process, store, and disclose your Personal Information when you apply for a position at PT VEDA PRAXIS (including emails, letters, or conversations) for the purposes described in this Policy and related to your potential employment relationship, including:
    a. Processing and updating your Personal Information through our HR system, learning platform, performance management, and payroll system;
    b. Business planning and reporting;
    c. Safety and security matters;
    d. Responding to your inquiries and complaints; and
    e. Fulfilling legal and regulatory obligations.
  3. Implementation of the Above Purposes Includes, but is Not Limited to:
    a. Providing services to you;
    b. Recruitment purposes;
    c. Managing employment relationships and related legal obligations;
    d. Contacting us for further information;
    e. Internal administrative purposes;
    f. Distributing Quick Surveys, Quizzes, or Benchmarking Surveys;
    g. Registering participants for events and workshops;
    h. Distributing requested reference materials;
    i. Distributing the Valoka newsletter;
    j. Downloading documents or publications;
    k. Managing our relationships with clients and prospective clients;
    l. Marketing purposes.

We will never sell or disclose your Personal Information to third parties for marketing purposes.

We will also use, process, store, and disclose your Personal Information for other legitimate business purposes, such as generating statistics, analyzing the effectiveness of our marketing programs, monitoring website traffic, and fulfilling contractual, legal, and regulatory obligations.

 

Change of Purpose

We will only use, process, store, and disclose your Personal Information for the purposes for which we collected it (e.g. the provision of work finding services if you are an Associate or to consider you for employment if you are a job applicant), unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose.

PT VEDA PRAXIS is part of an international group of companies operating globally. We may share some of your Personal Information with our group companies based in Malaysia and Vietnam. Your data will be used and processed for purposes similar to those outlined in this Privacy Policy.

 

Data protection laws in some countries outside Indonesia may not provide the same level of protection. However, we will ensure that your Personal Information is safeguarded, secure, and confidential, and that we have a legal basis for such transfers.

 

Your personal data is processed through Microsoft SharePoint Online and stored in Microsoft data centers located in the Asia-Pacific region. Microsoft ensures compliance with personal data protection regulations under several international frameworks, including the APEC Cross-Border Privacy Rules (CBPR) applicable in the Asia-Pacific region, and standards aligned with the General Data Protection Regulation (GDPR) to maintain the integrity and security of your personal data. Disclosing your Personal Information to 3rd Parties

To the extent necessary or appropriate and without notifying you, PT VEDA PRAXIS may disclose your Personal Information to external 3rd Parties in the following circumstances:

·       Service Providers: We may disclose your Personal Data to companies and individuals we engage to perform business functions and services on our behalf, such as payroll services, background screening, and data storage facilities located in the Asia-Pacific region.

·       Government Agencies: We may share your Personal Data with relevant authorities, such as the Social Security Administration, for tax reporting purposes, and the Personal Data Protection Authority.

·       Legal Compliance: We may disclose your Personal Data to comply with applicable laws, legal processes, or to protect our rights, property, or public safety.

·       Business Transactions: In the event of a sale or transfer of part of our business or assets, or if we merge with another company, your Personal Data may be transferred as part of the transaction.

·       IT Consultants and Service Providers: We may disclose your Personal Data to IT consultants working on our systems or service providers located in the Asia-Pacific region.

Where applicable, we will impose appropriate contractual, security, confidentiality and other obligations on to 3rd party service providers and processors we have appointed, based on the nature of the services they provide to us. We will only permit them to process your Personal Information in accordance with the law and our instructions.

  1. Right to Access: Obtain confirmation of whether we are processing your personal data, receive a copy of your personal data, understand how your personal data has been used by PT VEDA PRAXIS.
  2. Right to Rectification: Request correction or amendment of your personal data if it is incomplete or inaccurate (e.g., if you change your address) and complete any missing personal data.
  3. Right to Erasure: Request deletion of your personal data in the following cases:
    a. The data is no longer required for the purposes for which it was collected or processed.
    b. The processing is based on your consent, and you withdraw that consent with no other legal basis for processing.
    c. You object to processing based on legitimate interests, and we have no overriding lawful grounds to continue.
    d. You object to processing for direct marketing purposes.
    e. Your personal data was unlawfully processed.
    f. The data must be deleted to comply with a legal obligation.
  4. Right to Restrict Processing: Request limited processing of your personal data in the following cases:
    a. For a period allowing us to verify the accuracy of the data where you dispute its accuracy.
    b. When the data was unlawfully processed, and you prefer restriction over deletion.

b.    Transfer the data to another organization (or request us to do so, where technically feasible) if the processing is based on your consent or necessary for the performance of a contract and conducted by automated means.

  1. Right to Withdraw Consent:

a.     When processing is based on consent, you have the right to withdraw your consent at any time. However, this will not affect the legality of processing carried out prior to withdrawal. If you withdraw consent, certain services may no longer be available to you. We will inform you of any such impact at the time of withdrawal.

b.    If you believe your personal data has been unlawfully processed, you have the right to file a complaint with the Personal Data Protection Authority responsible for enforcing data protection laws in your country of residence, employment, or where the alleged breach occurred.

How long we retain your Personal Information

PT VEDA PRAXIS will retain your Personal Information for as long as necessary to fulfill the purposes for which it was collected, such as while you seek employment through us or participate in our job placement services. We will retain your information for the duration of our relationship and as long as we provide job placement services to you.

 

Unless other applicable Company Regulations specify otherwise, the relevant information assets within the Company are subject to a retention period of five (5) years.

 

Additional Information and Response Time

We may request specific information to verify your identity and ensure your right to access your Personal Information (or to exercise your other rights). This is to prevent unauthorized disclosure of information. We may also ask for additional information to expedite our response to your request.

 

We aim to respond to all legitimate requests within 3 x 24 hours (three business days). If your request is complex, we will notify you and provide status updates accordingly.
